Ledger Clean is a trading name operated from the United Kingdom. This policy explains how we handle personal data and business information in line with the UK GDPR and the Data Protection Act 2018. This template should be reviewed before launch.
Who we are
Ledger Clean ("we", "us") is the data controller for enquiry and account data, and acts as a data processor for financial documents you upload for reconciliation. Contact: hello@ledgerclean.co.uk.
What we collect
- Enquiry details: name, company, work email, phone (optional), job title and your description of the problem.
- Portal account data: name, email, organisation, sign-in activity.
- Documents you upload (supplier statements, ledger exports, supporting documents) and the upload timestamp and uploader.
- Project messages and information-request responses.
How we use it
Solely to respond to enquiries, deliver the reconciliation service you request, and communicate with you about it. Lawful bases: contract, and legitimate interests for responding to business enquiries. We do not sell data or use it for marketing without consent.
Storage and security
Files are held in private, encrypted cloud storage accessible only to your organisation's authorised users and Ledger Clean. Downloads use short-lived signed links. See our Data Security page.
Retention
Uploaded documents are kept only as long as needed to complete the work and handle follow-up queries, then deleted. You can ask us to delete files at any time, and you can remove your own uploads before work starts.
Your rights
You can request access, correction, deletion, restriction or portability of your personal data, and object to processing. You may complain to the Information Commissioner's Office (ico.org.uk).
